JOB SUMMARY
The Supply Chain Officer will be responsible for managing all procurement activities and travel logistics in support of the organization’s operations in Colombia. This role ensures that goods and services are procured in compliance with organizational policies and donor requirements, while also overseeing efficient, cost-effective, and timely travel arrangements for staff and visitors. The position requires strong organizational skills, attention to detail, and the ability to work effectively with both internal teams and external vendors.
MAIN DUTIES AND RESPONSIBILITIES
Procurement
• Manage the full procurement cycle from requisition to delivery, ensuring adherence to organizational and donor regulations.
• Prepare and issue requests for quotations (RFQs), evaluate bids, and select suppliers based on transparent and competitive processes.
• Negotiate contracts, prices, and delivery terms with vendors to ensure value for money.
• Maintain an up-to-date supplier database, ensuring regular vendor performance evaluations.
• Track and manage purchase orders, deliveries, and payments, ensuring timely completion.
• Maintain proper documentation and filing of all procurement-related records.
Logistics
• Oversee all travel arrangements for staff and visitors, including flights, ground transportation, accommodation, and visas.
• Coordinate logistics for meetings, workshops, and other events as required.
• Manage vehicle bookings, driver schedules, and related transportation logistics.
• Ensure that travel and logistics activities are planned efficiently to optimize cost and time.
• Maintain an updated travel and logistics calendar for the Colombia office.
Compliance and Reporting
• Ensure all procurement and logistics activities comply with organizational policies, donor requirements, and local laws.
• Provide regular procurement and logistics reports to management.
• Monitor budget usage for procurement and travel-related expenses, highlighting potential risks or overspending.
QUALIFICATIONS AND SKILLS
• Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or a related field.
• Minimum of 3 years’ experience in procurement and logistics, preferably in the NGO or development sector.
• Strong knowledge of procurement processes, vendor management, and travel coordination.
• Excellent negotiation and communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Strong organizational skills with the ability to prioritize multiple tasks and meet deadlines.
• Fluency in Spanish required; working knowledge of English is preferred.
